Should we move from Zoho Books to ERPNext?
Usually when the suite starts costing you reconciliation. Zoho Books is cloud-based with user limits set by plan and additional users sold as an add-on, and deeper operations mean adding Inventory, CRM and others as separate products. ERPNext holds the same scope in one database with no per-user fee, which removes both the sync problem and the seat arithmetic.

Seat limits shape behaviour, not just budgets
Zoho Books sets a default user allowance by plan, with more users available through a per-user add-on. Businesses respond by sharing logins and keeping people out of the system, and the data quality falls accordingly. With no seat cost, that pressure disappears.

Every seam is a reconciliation
The suite model is coherent and well-integrated by suite standards, but each application keeps its own records and they synchronise. A business running Books, Inventory and CRM has three versions of the customer and periodically has to decide which is right. One database removes the question.

Cloud-only versus your choice
Zoho Books is a cloud service with data held and backed up by Zoho, which suits most small businesses perfectly well. ERPNext can be run on Frappe Cloud, on managed hosting, or on your own servers. If data residency or direct database reporting matters, only one of these can do it.
Where ERPNext pulls ahead
One database for the whole business, with no seat count deciding who is allowed to use the system.
Manufacturing that actually exists
BOMs, work orders, routings, subcontracting and production costing are in the product, which is the usual reason a growing manufacturer outgrows an accounting suite.
No sync to maintain
The customer on the sales order, the invoice and the CRM opportunity is the same record, so there is no periodic exercise deciding which application is right.
Everyone can have a login
Stores, shop floor and field staff can enter data where it happens rather than passing paper to whoever holds a seat.
ERPNext fits better when
You manufacture or assemble, rather than only buying and selling- You are already running three or more Zoho applications and reconciling between them
- Headcount is growing and per-user cost is becoming a real line item
- You need data on your own infrastructure or direct database reporting
Things to weigh carefully

- Zoho's mobile applications are more polished for casual, occasional users
Where Zoho is the better choice
Zoho is a good product and there is a large class of business for which moving to ERPNext would be an expensive mistake.
You are small and your books are simple
A services business with a handful of people, no inventory and straightforward invoicing gets more from Zoho Books today than from an ERP implementation. Buying an ERP to solve a bookkeeping problem is a common and costly error.
You want to be running this week
Zoho Books can be set up in days without a partner. ERPNext repays a proper implementation, and if you do not have the appetite for that project right now, the honest answer is to wait.
You need Zoho's wider suite
Campaigns, Desk, Survey, Sign and the rest have no ERPNext counterpart. If several of those are central to how you operate, the suite is doing real work for you.
Nobody internally will own the system
ERPNext gives you more control and expects more ownership in return. Without someone accountable for it, a managed cloud product is the safer choice.

ERPNext vs Zoho —common questions
It depends on the plan. Zoho documents a default user allowance that increases with plan level, with additional users available through a per-user add-on billed monthly or annually. ERPNext has no per-user licence at all, so the comparison is between a growing seat cost and a fixed implementation and hosting cost.
Books is an accounting product; production requires Zoho Inventory for stock and, in practice, additional tooling for anything involving BOMs, work orders or subcontracting. ERPNext has manufacturing in the core. If you make things rather than resell them, this is usually the deciding point.
Zoho One bundles the applications under either All Employee Pricing, which requires a licence for every employee, or Flexible User Pricing, where you buy only the licences you need. It changes the cost shape considerably, so if you are comparing seriously, compare against Zoho One rather than against Books alone.
